Match Recruitment was founded in 2002 and has rapidly grown into a significant recruitment firm, with a turnover in excess of £3 million and operations in Manchester, Liverpool, London and Essex. It provides staff to the Finance, IT and Hospitality sector.
When Match Recruitment was formed the Directors decided early on that they wanted to adopt the best IT systems that were available, this included their choice of Recruitment Software. The Directors scoured the market and invested a not insignificant amount into the market leading software package. After around 12 months it became apparent that the package they had chosen couldn’t cope with the way in which their business ran, in particular the Temp Desk. Match Recruitment initially struggled to find a package that could handle their temp business in the way they wanted.
Managing Director Ian Griffiths says: “We couldn’t find an off-the-shelf system that would handle the volume of temp business we were doing. I first came across ProSpec through a colleague who was using it, I was very impressed with how easy to use it was and how close to our existing perm system it was. Assist Solutions was keen to develop a temp module and I liked the idea of getting a system that would handle our rapidly growing temp business that would be as user-friendly as ProSpec. It also offered the additional benefit of having an integrated Prospecting and Marketing module which I was very impressed with. I had been looking at a separate CRM system but ProSpec more than covered our CRM requirements”.
Match Recruitment made the decision to purchase the system in August 2004 and went live in November 2004, Ian remembers “I was very worried that the implementation would take our focus from running the business, but the consultants from ProSpec handled every aspect of the installation from data transfer through to user-training. The company hardly noticed the transition and I was amazed by the speed at which my employees were up and running with the new system”.
ProSpec project managed the whole implementation, producing a detailed project plan that all parties were happy with. Having reviewed Match’s existing system, it was decided to take a “big bang” approach – transferring all of the data in one go: This involved extracting 80,000 candidate CVs from their legacy system and re-importing them into ProSpec together with over 35,000 client records and 100,000 candidate records, this process was completed within the budgeted time. Once the data was in, user training commenced over the period of a week working round each office in turn. Because all of the existing data was already in, the consultants could do searches, register jobs and manage their contacts from day one.
Melanie Whitehouse, the Sales and Marketing Coordinator says: “A real benefit over our old system from my point of view was the ability to produce and manage mailings from within the system. We have a very aggressive marketing policy and being able to monitor campaigns and follow up activity was a Godsend”.
Joanna Green, Senior Temps Consultant adds: “I was finding that my team were spending two thirds of their time administering temps, timesheets, contracts and application forms. The new system has cut this down by half at least. My favourite part of the system is the ‘View Bookings by Week’ screen, I can see at a glance what shifts I need to fill for any week – the unfilled ones being highlighted in red. I love the way I can double click any company or person name and I am immediately taken to that record, which saves hours navigating my way round the system!”
Amanda Cullin, Finance Assistant adds: “My job is made much easier now, the timesheets are pre-filled on the system and all I do is check them, adding any overtime and expenses. The invoicing is done with one click of my mouse and it even produces my payroll journal entries. I love the way you can authorise contractor invoices on the system, that used to take me so long and was prone to errors, I can also print the details of my Contractor accrual journal which saves time spent on reconciliations.”
In conclusion. Ian Griffiths feels that ProSpec provides “unrivalled functionality in its field, I would wholeheartedly recommend the system to any recruitment business that wants to seriously reduce its administration time. In fact the prospecting and marketing modules I would recommend to any business, not just recruitment”.
